REGISTRARIAL SERVICES: REGISTRAR'S OFFICE AND STUDENT FINANCIAL SERVICES

Financial Document Tracker

The Financial Document Tracker is an internal York tracking system for you to use throughout the academic year to check whether your government funds have been received by York University. This applies to: OSAP applicants, out-of-province and US students.Shipments are received once a week from the government, so keep checking regularly.

This tracker informs you whether your funds have been received, where to pick them up, what identification you need and it directs you to set up an appointment online.

If your document is not yet available, keep checking regularly as new shipments are received once a week from the government. You may also check your application status on the OSAP website at osap.gov.on.ca/OSAPPortal to ensure you have submitted all necessary paperwork. Please do not send in copies of documentation as this will cause a delay in processing.

Incoming supporting documentation: This tracker also displays supporting documentation that you send to Student Financial Services in support of your financial aid application, for example, marriage certificates, appeal letters, notification of income, course load changes etc. It lets you know that we have received your documentation and how long it takes to process. Keep checking back regularly as information is generally posted within two to four weeks of receipt.

OSAP consent/signature forms are not tracked on the Financial Document Tracker. You can check the status of these consent forms on your online OSAP application through the "Log In to Check Status" function. Once these forms are processed, they will no longer show as required. It will take about six weeks to process from the time you submit them to our office.

  • Important Notes
  • OSAP Second Instalment - Winter 2012

If you have picked up your first OSAP instalment, and are expecting the second instalment in the winter term, the Financial Document Tracker will display its status. If the loan/grant certificate is not yet available, please check back on a regular basis as documents are received and posted once a week.

If your loan/grant certificate is shown as "Mailed - Second Instalment", you will receive it in the mail – make sure you read all the instructions carefully.

If your loan/grant certificate is shown as "On Hold at Student Client Services - Second Instalment", an appointment is necessary to come to Student Client Services to discuss its release. We urge you to do so promptly as funds will not be released after your winter study period end date.

  • Summer 2012 OSAP

Summer OSAP applications will be reviewed and processed starting in early March, once students have enrolled in their courses. The Financial Document Tracker will display the status of summer certificates starting May 4, 2012.

  • Out-of-Province Students

If your provincial government mails your student loans and grant cheques to York University for distribution, this tracker will show you when they are received and give you further instructions of where and how you can pick them up.

If your province mails the funds directly to you, take them to Student Client Services in the Bennett Centre for Student Services, to confirm your registration status and authorize your funds.

Documents arrive when your financial aid application is completed by your government, so if not available at this time, please keep checking regularly.

  • US Government Loans

We will begin releasing loans to US students during the first week of class in January, as the funds are received by York. Funds will be posted to your Student Account and should there be a credit balance, you will receive a cheque in the mail within 5 to 10 business days.

  • US Private Loans

US private loans are displayed on the tracker as we receive them from the American authorities. We will begin to release winter 2011-2012 funds on January 4, 2012 provided your study period begins on this date. If your documents are not available at this time, please keep checking regularly.
